This Privacy Policy explains how SYNCivate collects, uses, stores, and protects information from website visitors and clients. By using syncivateai.com or engaging our services, you agree to this policy.
When you submit a contact form, purchase an audit, book a strategy call, or sign a Statement of Work, you may provide: full name, business name, email address, phone number, physical or mailing address, message content or inquiry details, and business information relevant to your automation assessment.
All contact and intake forms on syncivateai.com are powered by GoHighLevel (GHL). Data submitted through these forms is stored in your GHL contact record and is accessible only to SYNCivate staff.
When you visit syncivateai.com, standard web server logs may record your IP address, browser type and version, pages visited and time on site, and referring URL.
SYNCivate does not use third-party analytics platforms (no Google Analytics, no Meta Pixel, no advertising trackers). No behavioral profiles are built from site visits.
If you interact with SYNCivate via SMS or voice (including the Lexi voice agent), the following may be collected: your phone number; message content and conversation history; call recordings (where applicable and disclosed at the start of the call); opt-in consent timestamp and method; and opt-out requests with the date and time of STOP commands received.
This data is stored in your GHL contact record and in Twilio’s message and call logs. It is used only to deliver and improve the services you requested and to comply with A2P 10DLC federal registration requirements.
For clients under an executed Statement of Work, SYNCivate may also collect and process: business contact databases provided by the client for automation setup; workflow configuration details, scripts, and knowledge base content; system performance logs and automation execution records; and payment and billing information processed through Stripe.
Client-provided contact databases are used solely to build and operate the automation systems defined in the executed SOW. They are never used for SYNCivate’s own marketing purposes.
SYNCivate sends automated SMS messages under Standard A2P 10DLC brand and campaign registration with The Campaign Registry (TCR), registered January 6, 2026.
SYNCivate collects express written consent before sending any marketing or automated SMS message. Consent is obtained through web forms, audit submissions, or documented agreement at the time of service engagement. Consent records — including the source, method, and timestamp — are retained in the GHL contact record.
You may opt out of SMS communications at any time by replying STOP to any message. You will receive one final confirmation message and no further automated messages will be sent to that number. Opt-out requests are honored immediately and automatically. Opt-out records are retained indefinitely to prevent future messaging to opted-out numbers.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support of services is permitted. All other use case categories exclude text messaging originator opt-in data and consent — this information will not be shared with any third parties. For full SMS compliance obligations applicable to SYNCivate clients, see the Terms of Service, Section 3.
SYNCivate uses collected information only to: respond to your inquiry, send the SYNC-Point Audit, and follow up on your interest; communicate with you via your preferred channel (phone numbers are used for SMS and voice follow-up only with prior consent); build, configure, and operate automation systems defined in the executed SOW (never for SYNCivate marketing); deliver automation and maintain A2P compliance records; process setup fees and MRR via Stripe (SYNCivate does not store card numbers — Stripe handles all payment data); and monitor, troubleshoot, and improve client systems under active MRR. Standard web server logs are used for server operations only, not behavioral tracking or ad targeting.
SYNCivate AI does not sell, rent, or trade personal information to any third party for any purpose.
SYNCivate uses the following third-party platforms to deliver its services. Each receives only the data necessary to perform its function and is bound by its own privacy policy.

If additional processors are engaged in the future, this policy will be updated with 30 days notice to active clients.
No data security system is 100% impenetrable. SYNCivate is not liable for data breaches resulting from client-side security failures, unauthorized access to client-provided credentials, or third-party platform breaches outside SYNCivate’s direct control.
In the event of a confirmed data breach affecting personal information, SYNCivate will notify affected individuals in accordance with applicable North Carolina law, including the North Carolina Identity Theft Protection Act (NCGS § 75-60 et seq.). To report a suspected data security incident, contact Support@SYNCivateAI.com.
You may request access to, correction of, or deletion of your personal information by submitting a written request to Info@SYNCivateAI.com; SYNCivate will respond within 30 days. Deletion results in removal from the GHL contact database and associated automation records (deletion requests from active clients may be subject to data retention requirements in the Refund & Cancellation Policy). To opt out of SMS, reply STOP to any message — your number is removed immediately and permanently. To opt out of marketing email, reply UNSUBSCRIBE or write to Info@SYNCivateAI.com (transactional emails for active engagements are not subject to marketing opt-out). Active clients may request a data export by writing to Support@SYNCivateAI.com; exports are provided within 15 days. SYNCivate does not discriminate against any person for exercising their privacy rights.
syncivateai.com does not use advertising cookies, third-party tracking pixels, or behavioral analytics platforms. No advertising profile is built from your visit. The site may use functional cookies or browser storage for session management and form functionality only. Typography is delivered via Google Fonts (fonts.googleapis.com); when the site loads, your browser requests font files from Google’s servers, transmitting your IP address. No personal data is used for advertising through this service. GHL-powered forms may set functional cookies necessary for form submission and spam prevention — operational cookies only, not advertising or tracking cookies.
syncivateai.com and SYNCivate services are intended exclusively for business owners and their authorized representatives. SYNCivate does not knowingly collect personal information from any person under the age of 18. If you believe a minor has submitted personal information through this site, contact Info@SYNCivateAI.com immediately and we will delete it upon verification.
SYNCivate reserves the right to update this Privacy Policy at any time. Material changes will be communicated to active clients via email to the address on file in their executed SOW, with a minimum of 30 days notice. Non-material updates may be made without advance notice. The effective date at the top reflects the most recent revision. The current version is always available at syncivateai.com/privacy. This Privacy Policy is available in Spanish upon request; the English version is the governing version.
Related policies: The Refund & Cancellation Policy governs all payment, refund, and cancellation matters. The Client Expectations Policy governs client obligations during active engagements. Both are incorporated by reference into every executed Statement of Work.
